Terms and Conditions for Abstract Submission

Energy Future Conference 2026 (EFC26) - Organized by Auxilium Energy & Entrepreneurship Company (AEEC)

By submitting an abstract to the Energy Future Conference (EFC26), organized by Auxilium Energy & Entrepreneurship Company (AEEC) (the "Conference" or "EFC26"), you agree to the following terms and conditions. These terms ensure a fair, ethical, and efficient process for all participants.

1. Originality and Authorship

You confirm that the abstract is your original work, or that of the listed authors, and does not infringe on any third-party rights, including copyrights or intellectual property. Plagiarism, fabrication, or unauthorised use of others' work is strictly prohibited. You warrant that you have the necessary rights and permissions to submit the abstract on behalf of all authors and that all co-authors have reviewed and approved the submission.

2. Accuracy and Responsibility of Submitted Content

You are solely responsible for the accuracy, completeness, and validity of the information in your abstract. The EFC26 organisers assume no liability for any errors, omissions, or inaccuracies in the submitted content. You agree to indemnify the organisers against any claims arising from false or misleading information.

3. Review and Acceptance Process

All abstracts will undergo a peer-review process. The organisers reserve the right to accept, reject, or request revisions to any submission at their discretion, based on relevance, quality, and alignment with EFC26 themes. Decisions are final and not subject to appeal. If revisions are requested, you must respond within the specified timeframe; failure to do so may result in rejection.

4. Publication and Usage Rights

If accepted, you grant Auxilium Energy & Entrepreneurship Company (AEEC) a non-exclusive, royalty-free license to reproduce, distribute, and display the abstract (and any associated presentation materials) in EFC26 programmes, websites, proceedings, archives, and promotional materials. This includes digital and print formats for educational and promotional purposes related to EFC26.

5. Intellectual Property Ownership

Authors retain full ownership and copyright of their abstract and any related intellectual property. The license granted in Section 4 is limited to EFC26-related uses and does not transfer ownership. You may reuse or publish your work elsewhere, provided it does not conflict with EFC26 obligations.

6. Confidentiality and Data Protection

Personal data provided during submission (e.g., names, affiliations, contact details) will be processed in accordance with applicable data protection laws, primarily Algeria's Law No. 18-07 of 10 June 2018 relating to the protection of individuals in the processing of personal data (as amended), and principles aligned with the General Data Protection Regulation (GDPR) where relevant. Data will be used solely for EFC26 purposes, such as review, communication, and event management. We will not share your data with third parties without consent, except as required for EFC26 operations or by law. You have the right to access, correct, or request deletion of your data by contacting the organisers.

7. Photography, Video, and Media Consent

By attending EFC26, you consent to being photographed, filmed, or recorded during sessions, networking events, and other activities. These materials may be used by the organisers for promotional, archival, or educational purposes related to EFC26, including on websites and social media. If you do not wish to be featured, please notify the organisers in advance.

8. Registration and Payment Obligation

If your abstract is accepted for presentation, at least one author must register and pay the applicable EFC26 fees by the specified deadline. Failure to do so may result in the removal of the abstract from the programme. Registration covers access to sessions and materials but does not include travel or accommodation costs.

9. Withdrawal and Substitution Policy

You may withdraw your abstract before acceptance without penalty. After acceptance, withdrawals require written notification to the organisers and may only be approved under exceptional circumstances. Substitutions of presenters are permitted with prior approval from the organisers, provided the new presenter meets registration requirements and is qualified to deliver the content.

10. Event Changes, Postponement, or Cancellation

The organisers reserve the right to modify the EFC26 programme, format (e.g., in-person to virtual), dates, or venue due to unforeseen circumstances, such as health concerns, natural disasters, or low attendance. In case of cancellation, registered participants will receive a refund of fees paid, minus any administrative costs. The organisers are not responsible for additional expenses incurred by participants.

11. Liability Limitation

Auxilium Energy & Entrepreneurship Company (AEEC), its affiliates, and partners shall not be liable for any direct, indirect, incidental, or consequential damages arising from the submission process, participation in EFC26, or event-related activities. This includes, but is not limited to, loss of data, personal injury, or financial losses. Participants attend EFC26 at their own risk and are encouraged to obtain appropriate insurance.

12. Governing Law and Jurisdiction

These terms shall be governed by international principles of law, without regard to conflict of laws. Any disputes arising from or related to these terms will be resolved through amicable negotiation or, if necessary, arbitration in a neutral international forum, such as under the rules of the International Chamber of Commerce (ICC).

13. Ethical and Regulatory Compliance

You confirm that the work described in the abstract complies with all applicable ethical standards, institutional approvals, and regulatory requirements according to EFC26 rules. Any research involving human participants, sensitive data, or restricted industrial information must have been conducted in accordance with applicable laws, guidelines, and permissions. The EFC26 organisers reserve the right to reject or withdraw any abstract that raises ethical or compliance concerns.

14. Editorial and Formatting Rights

The EFC26 organisers reserve the right to make minor editorial or formatting changes to accepted abstracts for consistency, clarity, and publication purposes, without altering the scientific content or meaning.

15. Force Majeure

The organisers shall not be held responsible for failure or delay in fulfilling obligations due to events beyond their reasonable control, including but not limited to natural disasters, government restrictions, strikes, pandemics, or security situations.

Important Notice

By submitting your abstract, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions. These terms constitute the entire agreement between you and Auxilium Energy & Entrepreneurship Company (AEEC) regarding abstract submission to EFC26.
